The beginner’s guide to using AI in your business — without getting overwhelmed
If you have been hearing about AI and still do not know where to start, begin with a problem — not another tool.
AI is here. Now what?
The noise is loud. Every founder, marketer and manager is being told to “start using AI.” Most teams feel behind. You are not.
The businesses we sit with in the UAE ask the same four questions: Where do we begin? Will this replace our people? Do we need engineers? What if we use it badly?
This is the path we walk with non-technical teams — clear, small and useful.
1. Stop hunting for tools. Start with a problem.
The usual mistake is to open ChatGPT and look for a place to put it. Flip it. Ask where the week actually leaks.
| Ask this | A typical answer |
|---|---|
| Where does the team lose the most time each week? | Manual replies, the same updates, the same sheets |
| What is repetitive but still important? | Follow-up emails, summaries, first-draft proposals |
| What breaks when one person is away? | Invoices, onboarding, the Friday report |
That answer is your first AI project. Everything else can wait.
2. Pick low-risk work that still frees a day.
Do not automate the whole company. Start with tasks that eat hours and do not need your best judgement.
Starter wins we see every month: WhatsApp FAQs answered by a trained agent, meeting notes summarised from a transcript, payment reminders from a sheet, first-draft captions and email sequences.
Small, visible wins build trust inside the team. Trust is what lets you go further.
3. Use tools you can already open.
You do not need a development team to begin. You need someone who will connect the dots and stay with the team for a week.
| Tool | Use it for | Comfort |
|---|---|---|
| ChatGPT, Claude, Gemini | Writing, research, first drafts | Beginner |
| Make or Zapier | Moving work between apps | Intermediate |
| Notion AI | SOPs, notes, internal docs | Beginner |
| Fireflies or similar | Call notes you do not have to write | Beginner |
Spark AI helps you choose, configure and hand over these tools against the week you already have — then trains the people who will live in them.
